We are looking for an experienced and proactive Office Manager to join our HelpDesk Department. The role involves overseeing daily office operations, coordinating administrative processes, and supporting the team during the renovation and relocation to a new office.

The Office Manager will ensure a smooth transition to the new workspace, organize the setup of the cafeteria and related processes, and help maintain a comfortable and efficient work environment for all employees.

Responsibilities

  • Manage and coordinate daily office operations to maintain a productive and welcoming environment.
  • Ensure the office runs smoothly, supporting teams with workspace needs, comfort, and logistics.
  • Oversee supplies, catering, snacks, and facility services to ensure efficiency and quality.
  • Act as the main liaison for vendors, contractors, and building management, ensuring timely and cost-effective service.
  • Prepare, communicate, and uphold internal workplace policies and company standards.
  • Maintain compliance with workplace health and safety regulations.
  • Support and take ownership of projects related to office renovations, layout changes, or new space openings.
  • Collaborate with Operations and other teams to improve processes and employee experience.
  • Ensure effective internal communication and coordination between teams to support seamless daily operations.
  • Prepare and present operational and performance reports, offering data-driven insights for improvements.
  • Identify opportunities to enhance office culture and promote a positive, service-oriented atmosphere.
  • Track and report on key workplace metrics — data analytics background is a plus.
  • Work confidently with task management programs and digital tools and execute payments and expense tracking related to office operations.
  • Proactively identify and implement process improvements to enhance efficiency and elevate the overall workplace experience.

Requirements

  • Minimum 2 years of experience in office management, workplace experience, or a similar operational role.
  • Experience or interest in workplace culture, renovations, or space planning.
  • Excellent communication and stakeholder management skills.
  • Highly organized, proactive, energetic, and able to work independently with full ownership of responsibilities.
  • Strong sense of aesthetics and attention to detail, ensuring every element of the workplace reflects quality and professionalism.
  • Adaptable, resourceful, and able to thrive in a fast-paced, multicultural environment.
  • Languages: English, Russian will be considered as a plus
